Grant Manager/Finance Assistant

 

 

Description & Details

Cotopaxi Consolidated Schools, located in School District Fremont RE-3, is currently seeking a Grant Manager/Finance Assistant to provide leadership and direction for programs funded by federal, state, and private funds; oversee the financial administration of federal, state, and private grants; ensure that program staff accomplish their approved program initiatives and that the school division meets compliance and reporting requirements. Under the leadership of the Superintendent, the Grant Manager will use a focused strategy to also seek opportunities to support district priorities and initiatives. 

This is a full-time, or 1.0 FTE, position with benefits. This position is salaried on the classified salary scale (link). This position is grant funded.

 

Responsibilities:

  • Ensure compliance with the rules and regulations administered by the grantor; oversee special audits conducted by grantor.
  • Perform functions of financial administration and reporting to include, but not limited to: preparation and timely submission of grant applications and reports, development and adjustment of associated budgets, coordination of budgeted funds, screening and processing requests for expenditures and ensuring the timely application for reimbursement from the state.
  • Serve as a liaison with principals and other departments on issues regarding grants.
  • Monitor interventions and programs funded by grants to ensure compliance with grantor guidelines.
  • Assign certain grants and/or related responsibilities to individual budget analysts and coordinate their activities related to the grants assigned.
  • Assist in evaluating the fiscal administration of grant programs.
  • Monitor, input, review, and approve federal grant data in the assigned systems.
  • Coordinate staffing levels related to grants.
  • Work collaboratively with instructional grant personnel and all necessary stakeholders.
  • Perform related work as required.

Qualifications:  

  1. Bachelor’s Degree with a concentration in accounting or finance and previous experience in grants financial management, finance, accounting, and/or auditing.

  2. Experience in an educational setting preferred, but not required.

  3. A comparable amount of training and experience may be substituted for the minimum qualifications .

 

Experience and/or Knowledge: 

  • Knowledge of grant processes including accounting and financial reporting.
  • Proficient in the use of financial management software to include spreadsheets and databases, required. Ability to interpret complex grant funding requirements, submissions, and budget projections;
  • Ability to interpret federal, state, and local government laws and regulations regarding grant administration;
  • Ability to review the work of others to ensure conformance to standards;
  • Ability to communicate effectively across a broad spectrum of staff, both orally and in writing required.
  • Ability to collaborate with external agencies, community groups and partnerships.
  • Ability to research best practice and evidence-based programs within grant program designs.
  • Ability to provide ongoing technical assistance and training to district personnel aligned with Strategic Plan and grant design.
  • Ability to analyze budget trends and make recommendations for cost control and design adjustments.

FINANCE ASSISTANT:  The Finance Assistant is directly responsible to the Business Manager for the daily duties within the Business Office.  The Finance Assistant will work closely with both the Business Manager and the Superintendent to offer a full range of financial support services to the Cotopaxi School District.  They will also be expected to work closely with the Principal, Office Manager, supervisors and school staff. The School wishes to employ a suitably qualified, enthusiastic and experienced individual, capable of multi-tasking and working in a busy office on a wide variety of tasks. The role requires a high degree of accuracy and efficiency. The applicant can demonstrate knowledge of financial systems and procedures and have good written and verbal communication skills as well as good numeracy skills. The role requires strong organizational skills and the ability to work successfully in a team while showing strong independent skills to ensure deadlines are met and workload prioritizing occurs.  Maintaining confidentiality is essential for this position.

 

The Finance Assistant is responsible for:

  • Assisting the Business Manager with all aspects of the development and effective operation of the finance function within the School.
  • Assisting the Business Manager with operating and monitoring all school accounts and budgets, ensuring the safe receipt and handling of cash and the reconciliation of transactions.
  • Completing administrative routines relating to orders, invoices, cheques, income, back-up payroll and the receipt and distribution of goods and services.
  • Assist in the budget development process and perform budget analysis duties as assigned by the superintendent, finance Officer, or his/her designee.
  • Preparation of reports, spreadsheets and other documents.
  • Communicate effectively with all stakeholders.
  • Attend staff meetings, training days and team meetings as required
  • Undertake general office, reception and administrative duties, as required.
